How To Book An Event


Booking an Event | Catering/Refreshment Services | Janitorial and Logistics Services | Technical Services

Please have the following information available to book a NACC room:

  1. Full title of your event.
  2. Full name of Civil Servant Sponsor, including organization code, phone and email.
  3. Hours of actual event, including start, end, and set up time and customer prep time.
  4. Number of attendees for your event, and foreign nationals.
  5. Style of room configuration (auditorium, class room, etc.).
  6. Equipment needed (projector, podium, audio system, etc.). The NACC Systems Administrator can be reached at 650.604.2178 for AV administrator needs.
  7. Other needs, such as extra tables for registration or for refreshments, or to arrange for multiple sessions.
  8. Complete event agenda must be submitted, with contact numbers for Points of Contact.

There may be additional costs involved with janitorial and set-up/break down services.

Catering/Refreshment Policy

The Space Bar or the Ames Mega Bytes Café shall provide all catering at the NACC. If Barcelona or Mega Bytes Café cannot support the event, check with your Event Coordinator for further assistance.

Janitorial and Logistics Services

  1. The NACC requires janitorial services for all events.*
  2. The NACC requires logistic services* to set up and breakdown furniture, as well as to provide power for computer hook-ups.
  3. All event setups need to be completed within 24 hours prior to event. Last minute logistic changes may require additional costs and may impact the event. Speak to a NACC staff member before making changes.
  4. At the present time, the NACC does not have transportation services.
*Janitorial and logistics services require an ARC 73, Service Request (SR) form, completed and submitted by the sponsoring organization.

Technical Services

  1. For a list of Audio/Visual equipment click on Audio/Visual equipment.

  2. If the event has multiple presentations, we recommend that the customer provide at least two laptop computers.
  3. If you need support from an outside tech vendor, call the NACC for a list of contacts.
  4. Special technical needs will incur additional costs.
  5. Contact Event Coordinator and Code I, Nick Theodore, 650-604-6397 for technical support, ie. Webcasting, Broadcasting, VITS.
